Material Handling: The exhibitor is responsible for all material handling charges by the
General Contractor (Freeman, GES, etc.) and must have a credit card on file with the
GC at least seven days prior to the set-up date. Material Handling is the cost to deliver equipment to and from your booth. Material handling rates vary, typically based on
weight. Check the exhibitor manual for details and rates.
Exhibitor Responsibilities: The Exhibitor acknowledges all information on the Rental
Order is accurate, including exhibit hall, booth number, target set up and break down
dates and times. Changes must be made in writing at least 48 hours prior to the set-up
time. Exhibitors are responsible for the advance order of carpet, electrical service or any
other show service required prior to Vegas Display setting up the rental equipment or
wait fees will apply. These items must be ordered at least 10 days prior to the set-up
Display Design Changes: Display designs adhere to strict structural criteria. Display
walls cannot be altered from the original agreed design unless approved by Vegas
Display. Any onsite design changes are solely at the discretion of Vegas Display. Any
changes will be charged additional labor fees. The exhibitor must NOT alter or move the
display after installation, as it could collapse, cause damage to property or personal
Rush Orders: Equipment ordered within 48 hours of the show will be billed at 2X the
published rate. On site orders will be charges 3X published rate. Late artwork for signs
and can be charged up to 100% of the original quoted price and extra labor fees may
apply. A minimum $75 delivery fee and based on available labor, delivery day and time.
Insurance: The Exhibitor is required to carry liability insurance and is responsible for
any damage to the display equipment, product or people while the equipment is in the
possession of the exhibitor. Vegas Display recommends exhibitor obtain event
cancelation and disruption insurance.
Equipment Alterations: Exhibitors may attach signs or products to the display, but the
Exhibitor is responsible for any cleaning fees or damages to equipment resulting from
tape residue or any other damages to the equipment. Exhibitor cannot dill, add screws,
nails or alter the equipment in any way. Cleaning fees are billed at $95 per hour with a
one-hour minimum. Equipment that is damaged or cannot be cleaned or repaired will be
billed the full replacement cost.
Onsite Resolutions: The Exhibitor authorizes Vegas Display to resolve all onsite
issues regarding the completion and set up and breakdown of the equipment, including
carpet, electrical service, material handling or other services which the Exhibitor failed
to order in advance. If the Exhibitor does not have a credit card on file with the GC,
Vegas Display has authority to use the Exhibitor’s credit card on file with Vegas Display.
Client is responsible for all charges on the Exhibitors behalf plus a $100 service fee to
Vegas Display. If the Exhibitor credit card is declined or refused by the GC or vendor
and Vegas Display Vegas is delayed in completing the job, wait fees, return fees, and
overtime charges may apply.
